This page is the FAQ and late-breaking information source for the ICSE 2013 Workshops Program.

Deadlines of Interest to Workshop Participants

  • Feb 7: Workshop paper submissions due
  • Feb 14: Extended paper submissions deadline for the following workshops only: ASSURE, CHASE, CMSBSE, CTGDSD, GAS, GREENS, MiSE, MOBS, MTD, PESOS, RAISE, SEES, SEHC, SESENA, TOPI, TwinPeaks, USER, and WETSoM.   • Feb 7: Workshop paper submissions due
  • Feb 8: Fill in the number of submissions you received and whether you are ok with that number, in our shared google spreadsheet.
  • Feb 14: Extended paper submissions deadline for the following workshops only: ASSURE, CHASE, CTGDSD, GAS, GREENS, MiSE, MOBS, MTD, PESOS, RAISE, SEES, SEHC, SESENA, TOPI, TwinPeaks, USER, and WETSoM.
  • Feb 27: Fill in number of accepted papers, in our shared google spreadsheet.
  • Feb 28: Notification of authors
  • Feb 28: Publish preliminary program (or at least a list of accepted papers) on your website
  • Feb 28: Notify proceedings chairs of all of your workshop papers that are to be published, in the format specified here: http://www.conference-publishing.com/Procedure.html. (Including your 2-page workshop summary and preface.)
  • March 7: Camera-ready final workshop summary is due (2 pages for the electronic proceedings). For detailed instructions, please see the email you received from Conference Publishing on approximately Feb. 1.
  • March 7: Camera-ready final workshop preface is due (also for the electronic proceedings). For detailed instructions, please see the email you received from Conference Publishing on approximately Feb. 1.
  • March 7: Camera-ready copies of authors' papers are due
  • March 8 thru "early deadline": publicize, and actively solicit registrations for your workshop. Note that workshop organizers and speakers must register for the workshop.
  • March 31: Authors' deadline to register for the workshops

Writing Papers, Workshop Summaries, and Prefaces

  • Q: How many camera-ready documents are workshop organizers supposed to write?
    A: Two. (1) A 2-page workshop summary for the ICSE proceedings, and (2) a foreward/preface for your particular workshop's proceedings.

  • Q: What's the right template to use for papers and 2-page workshop summaries?
    A: This one: http://2013.icse-conferences.org/content/submission-guidelines (which is a 2-column format). However, workshop prefaces should use a 1-column format.

  • Q: What if my author kit hasn't arrived yet (i.e., well before the March 7 camera-ready deadline)?
    A: Contact Conference Publishing, and they will re-send your kit.

Where/When/How Workshop Papers Get Published

  • Q: If my workshop paper is accepted, will it be published?
    A: Workshop papers in certain categories will be published electronically. To see if the category you are submitting to is one that will be published, please check the web page of the particular workshop you are submitting to. (List of all workshop links.)

  • Q: What exactly does "published electronically" mean?
    A: The ICSE workshop proceedings will be published in both the ACM and ICSE digital library databases. So, papers the workshops publish will have a DOI. This means they have an ISBN-A also. (Please see doi.org for more information about DOIs and ISBNs.)

  • Q: When will these papers be published?
    A: The electronic workshop proceedings will be available for download to all workshop participants by the first day of the workshops program. It will take a little longer for the ACM Digital Library and the IEEE Library to make them available to the world.

  • Q: What if I submitted a paper and got accepted, but cannot actually attend?
    A: Every accepted workshop paper needs to be represented by at least one of its authors. If none of a paper's authors attend the workshop, the paper will not be published (i.e., will be removed from the proceedings).

Registering and Attending

  • Q: I'm an author of an accepted workshop paper. Do I have a special deadline to register for the workshop?
    A: Yes. Your deadline to register for the workshop is March 31. When you do so, remember to include your paper ID(s) in the blank indicated.

  • Q: Huh, I have to include my paper ID when I register? How do I find out what it is?
    A: To find your paper id, check the emails that you received from Conference Publishing, for example with the author kit you received or in the subject of your submission confirmation for the camera ready copy. The ids start with "icse" and end with "-p", for example, icse13main-p4223-p or icsews13pizza-id23-p. If you can't find any of those emails, you can contact Conference Publishing to get your paper id.

  • Q: I didn't submit a paper to Workshop X, but I want to attend it. Is that ok?
    A: Most of the workshops are "open", meaning that you're welcome to register and attend, until the workshop space is filled. The only exception is the USER Workshop, for which you must have had a submission that was accepted.

  • Q: What do workshop attendees need to register for?
    A: All workshop attendees need to register for the specific workshop(s) you plan to attend. You can do this on the ICSE Registration page. (We also encourage you to register for the main conference, but this is not mandatory.)

  • Q: Do workshop invited speakers need to register? Do organizers need to register?
    A: Yes. ICSE cannot provide free registrations, travel compensation, or travel reimbursements to workshop invited speakers or to workshop organizers.

  • Q: What if I submitted a paper and got accepted, but cannot actually attend?
    A: Every accepted workshop paper needs to be represented by at least one of its authors. If none of a paper's authors attend the workshop, the paper will not be published (i.e., will be removed from the proceedings).

At the Workshops

Times/schedules

  • Q: What time does my workshop start? When is lunch? etc.
    A: All workshops will follow the same daily schedule, so that all participants can participate in coffee breaks and lunch. The daily schedule for workshop/tutorial days is:
    • Morning start: 8:30
    • Morning break: 10:30-11:00
    • Morning resumes: 11:00
    • Lunch break: 12:30-2:00
    • Afternoon start: 2:00
    • Afternoon break: 4:00-4:30
    • Afternoon resumes: 4:30
    • End: approximately 6:00 pm (workshop organizers might adjust this some). Room clearing by the hotel will begin at 6:30 pm.

  • Q: When/how do we check in and get our badges?
    A: At the conference registration desk (follow the signs in the hotel). It is open at the times shown here.

Food

  • Q: Is ICSE providing lunch?
    A: Yes, ICSE is providing lunch, a morning coffee break, and an afternoon coffee break. These are covered by your registration cost.

  • Q: What about dinner?
    A: Two-day workshops: Dinners up to $30+tip/tax are included in the two-day workshop registration fee. Your particular workshop's organizers will let you know details.
    One-day workshops: One-day workshop registration fees do not cover a dinner, but your particular workshop's organizers might have a plan for a dinner get-together. To find out, you can check with your particular workshop's web site or contact that workshop's organizers.
    Reminder to workshop organizers: Our shared google spreadsheet has some dinner venue ideas. Update: The shared google spreadsheet now also has a map of nearby eateries, in case you are still trying to decide where to eat.

Getting into (and out of) the rooms

  • Q: When/how do we check in and get our badges?
    A: At the conference registration desk (follow the signs in the hotel). It is open at the times shown here.

  • Q: Which room is my workshop in?
    A: See the ICSE workshops program page.

  • Q: I have special needs (wheelchair, etc.); are the rooms accessible?
    A: Please email to icse2103@cs.washington.edu right away to discuss your accessibility needs.

  • Q: Will the rooms be locked while we're on breaks or at lunch?
    A: No. We recommend that you do not leave your personal belongings or valuables in the conference rooms unattended (e.g., during breaks, lunch).

In the rooms: Internet, audio-visual, equipment provided

  • Q: What A/V support and room layout will the workshops have?
    A: ICSE 2013 will provide workshops a meeting room equipped with a data projector and a microphone. If other A/V support is to be provided for your specific workshop, your workshop's organizers will let you know. (Note to organizers: your specific A/V and room layout will be enumerated on our shared google doc.)

  • Q: Will there be wireless available?
    A: Yes. (In fact, we're told it's expected to be quite good.)

  • Q: My workshop includes posters. How big can they be? Any other constraints?
    A: If your workshop organizer has arranged for posters inside your particular workshop, those poster boards accommodate posters of size 2 ft by 3 ft. Also, please do not laminate your posters, as the supports may not be able to hold them up.

  • Q: Are there presenter guidelines?
    A: Yes, but not all workshops will be using exactly these. See http://2013.icse-conferences.org/content/presentation-guidelines
    A (continued): Note that everyone doing a presentation should bring their own laptop, as ICSE will not be providing them.

  • Q: What if I have a question about my specific workshop that isn't answered here?

  • Q: How can I find out about all the other things -- alternative hotel accomodations, travel, visa letters, local transportation information, social program, and so on?
    A: Check the main ICSE web site.
